Do the accompanying articles and publications need to be translated?
No.
Do the translated documents need to be certified?
No, they don’t have to be. It is sufficient to have the translation done by a suitably qualified translator or a translation company.
Do all foreigners need to have an authorised person in the Republic of Slovenia?
Only needs to be enclosed by an applicant who is residing abroad or has no temporary residence in the Republic of Slovenia at the time of submission of the application under this call for applications.
If foreigners have an authorised person in the Republic of Slovenia, they must indicate in their application the address of the person in the Republic of Slovenia whom they have authorised to collect mail in accordance with the provisions of the General Administrative Procedure Act.
Can I live with my child or partner in the dormitory for postgraduate students?
The Dormitory for postgraduate students has a few apartments and a few family apartments (for families with children), which are designed to accommodate candidates who are extending their stay. If they don’t need these apartments, we can also offer them to candidates who are just starting their stay at DPL.
The apartments available to applicants are mainly studio apartments, which are designed for one person, but it is also possible.
Extending my stay – what are the mandatory attachments to Form B?
A certificate of nationality (for foreigners) or a certificate of permanent residence (for citizens of the Republic of Slovenia) is required.
Young researchers must enclose an employment contract as a young researcher (job code H017002) for the 2024/2025 academic year.
Recipients of the Scholarship of the Republic of Slovenia are required to attach a scholarship agreement for the 2024/2025 academic year.
Extending my stay – Do I need to submit a certificate of completion of the requirements?
No, you do not need to provide a certificate of completion of the requirements. The mandatory attachments are listed in point 6.
I am applying for the first time. What are the mandatory attachments?
A certificate of nationality (for foreigners) or a certificate of permanent residence (for citizens of the Republic of Slovenia) is required.
Young researchers must enclose an employment contract as a young researcher (job code H017002) for the 2024/2025 academic year.
Recipients of the Scholarship of the Republic of Slovenia are required to attach a scholarship agreement for the 2024/2025 academic year.
Certificate of completion of the requirements:
First-year students of the third cycle need to attach a certificate of all second-cycle postgraduate requirements completed, which have been graded on a scale of 1 to 10, or the appropriate equivalent grade.
Higher-year students of the third-cycle postgraduate programme shall attach a certificate of all third-cycle postgraduate requirements completed in previous years, which have been graded on a scale of 1 to 10, or the appropriate equivalent grade.
The certificate of completion of the requirements must be officially issued by the competent education institution, a screenshot is not sufficient.
How do I submit an application?
There are two ways to submit an application:
By registered mail to Študentski dom Ljubljana, Komisija za sprejem (Admissions Committee), Svetčeva ulica 9, 1000 Ljubljana.
The application with the required content must be submitted in full in one counterpart, together with all attachments, in a sealed envelope with Form D affixed to it or in a sealed envelope with the sender and addressee indicated with the full name and address (Študentski dom Ljubljana, Komisija za sprejem (Admissions Committee), Svetčeva ulica 9, 1000 Ljubljana, call number 60350-0006/2024-1, with the indication “DO NOT OPEN – Application for the Public Call: APPLICATION FOR ADMISSION/EXTENSION OF STAY AT ŠDL DPL”).
OR
Electronically via a secure electronic mailbox (VEP).
If you have a secure electronic signature with a qualified certificate or a secure electronic mailbox, you can also send your application via the secure electronic mailbox SDL@VEP.SI where you can fill in the relevant forms. In this case, all communication between the parties will take place via the secure electronic mailbox. You enter the attachments or supporting documents in the Electronic Application Form.
I am a foreigner and I can’t submit my application electronically, what can I do?
You can always submit your application by regular mail, i.e. by registered mail to Študentski dom Ljubljana, Komisija za sprejem (Admissions Committee), Svetčeva ulica 9, 1000 Ljubljana.
With the secure electronic mailbox provider VEP.SI, you can check if your qualified digital certificate allows you to submit an application via the VEP.SI secure electronic mailbox. The VEP.SI secure electronic mailbox supports most qualified digital certificates issued in the EU.
If I submit my application by registered mail, how do I need to enclose the envelope?

Any amendments must also be submitted in the manner described above.
I am applying for a call but I have not yet signed an employment contract as a young researcher (job code H017002) for the 2024/2025 academic year, what should I do?
If you do not enclose the employment contract with your application, you must forward it to the Admissions Committee no later than 30 October 2024, otherwise your application will be rejected.
If your employment contract as a young researcher is concluded with a condition precedent and is not valid until you obtain a residence permit in the Republic of Slovenia, you must send a copy of the residence permit to the Admissions Committee within three days of receipt thereof, but no later than by 30 October 2024, otherwise the application will be rejected.
I am applying for the call but I have not yet signed the Scholarship Agreement of the Republic of Slovenia for the 2024/2025 academic year. What should I do?
If you did not enclose the scholarship agreement with your application, you must forward it to the Admissions Committee no later than 30 October 2024, otherwise your application will be rejected.
